  • SyncSpace operates through a user-friendly interface:

    • Booking Process: Choose your desired location and date.

    • Availability Check: Verify space availability and suitability.

    • Confirmation: Finalize your reservation with just a few clicks.

    • Efficient Booking: Book workstations, parking spaces, and meeting rooms starting with three simple steps.

For Employees

  • Employees can:

    • Easily Reserve Spaces: Book workstations, parking, or meeting rooms quickly and intuitively.

    • Enhance Efficiency: Utilize a user-friendly interface for seamless workspace management.

  • Yes, employees can reserve workstations or parking spaces for guests by following similar steps and providing necessary guest details.

  • Employees can access SyncSpace through a web portal accessible via browser or integrated directly into Microsoft Teams, providing flexibility in accessing and managing reservations.

  • To access SyncSpace via a browser, you need a stable internet connection and keep your browser updated. For integration with Microsoft Teams, ensure your organization has the appropriate setup for integrated access.

    • Access the SyncSpace portal or integration via Microsoft Teams. 

    • Select the desired type of reservation: Workstation, Parking or Meeting Room. 

    • Choose the date and location. 

    • Select an available space and proceed with the reservation. 

    • Employees can Check-In to a through the SyncSpace portal or Microsoft Teams interface. 

    • Check-in will only be available when a reservation is approved for the current day and reservation period. 

    • Users can also check-in by scanning the QR Code of the booked location with a smartphone. The code will redirect them to the check-in option. 

  • Employees receive automatic notifications via Microsoft Teams for pending approvals or updates related to their reservations.

    They also receive an email after a reservation is approved or rejected.

  • Yes, SyncSpace allows employees to search by name and view all reservations made by a specific individual.

    This includes details such as reservation date, location, and current status (pending, approved, canceled).

For Administrators

  • Reservations in SyncSpace can be configured to require approval from different levels of approvers, including place-specific, floor-defined, or global platform approvers.

    Reservations remain pending until approved by the configured approvers.

    • Place-Specific Approver: Specific approval for the reserved location.

    • Floor-Defined Approver: Approval based on the physical area of the floor.

    • Global Platform Approver: Member of the "Managers" group responsible for global approval.

  • Yes, administrators can customize reservation settings to align with organizational policies.

    This includes defining approval workflows, reservation limits per user, and available space types for reservation.

  • SyncSpace offers various reports for space utilization analysis:

    • Occupancy reports by period (daily, weekly, monthly).

    • Reports by space type (workstation, meeting room, parking).

    • Utilization reports by user or department.

    • History reports of reservations and cancellations.

  • Yes, SyncSpace integrates with Microsoft Teams for efficient access and communication. Users can make reservations directly through the Teams platform.

  • SyncSpace implements robust security measures including data encryption, permission-based access control, and compliance with data protection regulations to ensure secure transactions and data privacy.
